The problem, before

Following up on a case means remembering what was expected, checking the date, getting back to the person, and starting again. Between trips and other matters, reminders get forgotten.

What the agent does, step by step

  1. You hand over the case, the contact person, the expected date and how often to follow up.
  2. At each due date, the agent checks that the date really has passed.
  3. It checks whether the document has already been received or a reply has come in.
  4. If nothing has come in, it follows up.
  5. As soon as a reply arrives, it updates the case and stops the reminders.

The tools involved

  • Email
  • WhatsApp
  • Tracking table

The safeguards: what stays under human sign-off

  • Key rule: before following up, check the due date and that no reply has come in.
  • Tone and frequency set by you.
  • Beyond a set number of reminders, the agent hands back to you.

What it changes

  • Cases keep moving forward without you having to think about them.
  • A consistency nobody has the time for.
  • Fewer unnecessary, awkward reminders.

In real life

These reflexes had to be learned after some misses: reminders about questions already settled or documents already sent. A rule becomes useful when it answers a problem you’ve actually run into.

Which agents can do it?

Inspired by the first-hand account of a small business owner who set up these uses with OpenClaw on a Mac mini. The other agents mentioned have the necessary capabilities according to their vendors; AgentsIA hasn’t tested them on these cases. No figures on gains are put forward.

How to start: the checklist

  1. Choose five pending cases.
  2. Note for each one: contact person, expected date, frequency.
  3. Write the check-before-follow-up rule.
  4. Approve the first messages.
  5. Review the table every week.
